Business process consulting · Portugal

Your business runs on processes.
Most of them can be simpler.

Centelha Serena works with small and mid-sized companies to map, simplify and automate the work that happens every day — the handoffs, the approvals, the spreadsheets nobody trusts. Where it genuinely earns its place, we use AI. Where it doesn't, we say so.

  • Finance & admin
  • Customer support
  • Reporting
  • Compliance & audit trails

What we do

Four kinds of work, usually in this order

Engagements are scoped small on purpose. We would rather prove value on one process than sell a transformation programme.

01

Process mapping & assessment

Before anything changes, we document what actually happens — not what the manual says. Every step, tool, owner and wait time, written down in plain language. Most clients find the map alone worth the engagement.

02

Simplification & redesign

The cheapest automation is the step you delete. We remove duplicate data entry, unnecessary approvals and handoffs between people who were never the bottleneck, then redesign what remains around a single clear owner.

03

Automation & integration

Connecting the tools you already pay for, so information moves without somebody copying it. Intake forms, document routing, invoice and order handling, notifications, scheduled reports — built on your existing stack wherever possible.

04

Reporting & visibility

One number, one source, updated on its own. We define the handful of measures that actually describe the process, then make them impossible to calculate by hand at month end.

How we work

Deliberate, documented, and designed to end

A typical first engagement runs four to eight weeks. You should not need us permanently, and we build accordingly.

  1. 1

    Listen and map

We sit with the people doing the work and follow one process end to end. Output: a written map, a list of failure points, and an honest estimate of the time each one costs you.

  2. 2

    Prioritise together

Every candidate change gets a rough effort, a rough saving and a risk note. You choose what proceeds. Nothing starts on our judgement alone.

  3. 3

    Implement in small pieces

Changes go live one at a time, each with a way back. We run the old and new process side by side until the numbers agree.

  4. 4

    Document and hand over

You receive the documentation, the accounts and the credentials. Everything we build sits in systems you own, with no dependency on us to keep running.

Artificial intelligence

AI where it earns its place

AI is very good at a specific class of problem: work that is language-shaped, high in volume, and tolerant of a human check at the end. That describes a real part of most back offices — and not much more than that. We apply it there, with a review step, and leave the rest alone.

Where it tends to work

  • Reading documents — invoices, contracts, forms — and extracting structured fields
  • Classifying and routing incoming email, tickets and requests
  • Drafting routine correspondence for a person to approve and send
  • Answering internal questions from your own policies and documentation
  • Summarising long threads, calls and reports into something scannable

Where we advise against it

  • Decisions with legal, financial or safety consequences and no human review
  • Anything a deterministic rule or a database query already does correctly
  • Processes that are undocumented — automate the mess and you scale the mess
  • Use cases that would move personal data somewhere your DPO has not agreed to

The shape of the work

Less to go wrong

Most processes were not designed — they accumulated. The work is largely subtraction.

A tangled diagram of nine steps connected by crossing lines
Before 9 steps · 4 tools · 3 handoffs · 2 places the same number is typed
A straight diagram of four steps connected in a single line
After 4 steps · 1 handoff · automated where safe · one number, one source

Illustrative. Your process will look different — that is rather the point of mapping it first.

Fit

We are probably useful if

Your team spends real hours moving the same information between systems by hand.

Something important — an order, an invoice, a request — occasionally falls through and nobody can say where.

Month-end reporting is assembled manually, and the figures depend on who assembled them.

You have bought software that solves the problem in theory, and nobody uses it.

You suspect AI could help somewhere in the business, and want a straight answer about where.

You are growing, and the way things are done today will not survive doubling.

Contact

Tell us what's slow.

A short description of the process that frustrates you most is enough to start. We will reply with an honest view of whether this is something we can help with — including when it isn't.
